How to Collect Staff Certifications
There are two ways to do this: the director can upload the certifications, or staff can upload them through the staff portal. Once uploaded, the director can review and approve the certifications.
#1 Directors Uploading Certificates
Imagine all staff at your center need to be certified in a category called Pediatric First Aid and CPR. Let's walk through the steps to upload this for a new teacher named Olivia.
- From your center dashboard, head to the Staffing section.
- Find Olivia on the list, and click the three dots next to her name.
- Select Certification from the drop-down menu.
- Toggle the switch to mark the certification category as applicable.
- Click the Upload Certificate button to upload the document for this certification category.
- Enter the expiration date of the certification and the certificate ID.
- Click Add File and select it from your computer. You can add multiple files if needed.
- Click Save. The certification is now added to the staff's profile.
You can view, download, or update the document by clicking the menu button next to the certificate.
Uploading Certifications with No Expiration
For certifications that have no expiration:
- Directly upload the document and include any notes.
- Click Save. The certificate will be added to the staff's profile.
#2 Staff Uploading Their Certificates
- Staff must log in to their Staff Portal account.
- Click Certifications on the navigation bar.
- Find a list of all applicable staff certifications and their current statuses.
- If a certificate has been marked as applicable but hasn't been uploaded, staff can click Upload Certificate to submit their documents.
The certifications will then be sent for the director's approval.
Director Reviewing and Approving Certifications
- From the center dashboard, click Staffing on the side panel.
- This section lists certifications uploaded by staff that have yet to be approved.
- To review a certification, click View/Approve.
- Review the certification details and decide whether to approve or reject them.
Approved certifications will be automatically added to the staff's profile on the Staff Portal.
